Good Afternoon Kelly,
Our project team is being asked to remove the existing sign in front of the Operations facility
(image below). Are you okay with directing the contractor to proceed with this work on Force
Account? I would expect the cost will be under $10,000.

Jason,
Terry from Parks asked if we could have ACI remove the old sign at the shops. We were waiting
for some detailed plans from Parks and Facilities to ensure we did exactly what they wanted.
Terry informed me he just wanted us to remove and dispose of the sign. I spoke with Drew and
he agreed as long as it came out of Schedule 3, which is the Parks fund. After a few emails back
in forth we have agreed to remove the sign on force account and write a change.
I apologize for not getting you in the loop earlier. I wasn't sure if the work would actually
happen. We are planning on doing it next week. If you have any questions feel free to give me a
call.

Terry,
We plan on having our crews remove the sign and base next week. I'm not sure what day yet,
but I wanted to make sure that everyone was informed. Our Crews will remove the sign and the
base. Our crews will dispose of the sign unless someone wants it. We will leave the flag pole and
3
protect the lighting conduit. I also want to confirm that we are not responsible for when the new
sign will be installed.
We will track this work separately as force account and write a change order charged to schedule
3 for the project.

Hi Terry,
We are OK with having our contractor perform this work. The work you are describing would be
a change order to the project. That change order would be part of Schedule 3 which is Non-
Eligible to separate it from the TIB work, we expect that this change order would be paid for by
Parks. To get a price for the change order the contractor will need plans and details for all the
work you would like included. Do you have plans and details for the work you are describing?
Our design section is not currently in a position to be able to help prepare any plans for this
work.
So you have an idea of where you stand on cost, Pay estimate 2, Schedule 3 cost was $144,000,
and looking at the bid tab there is maybe $15,000 of outstanding work remaining. Bid tabs don't
include internal costs for design and construction, (assume 20%) puts you at N$190,000.

Subject: Russell Rd and Hogan Park-Shops Sign
Pulling an email together so that we can discuss the existing signage, drainage and perf pipe, irrigation, etc. for the lawn
area in front of the shops. In talking with Jason earlier this week, there is a need to run perf pipe that would potentially
go through the alignment of the existing sign. Talking with Brian and Will this week, that sign is scheduled for
replacement and the sign is on order. They were not originally planning to remove the brick and landscaping, but were
definitely open to it if there was support to do that financially. I also know that Todd and Park Ops would like to see that
brick and existing landscaping go and replaced with something more modern.
All that being said, there would need to be some kind of pad to mount this sign to if all of that existing infrastructure is
demolished. I think there is a reasonable solution to all this, which I can fund through my project budget.
Will reminded me that there is a flag pole and electrical and lighting that needs to be preserved, so that will need to be
located in this work.
It might be best to schedule an on-site meeting with folks in this group (plus any others that need to be invited) to
coordinate all the items and figure out the right solution.
Any other thoughts I am missing?

We're going to plan the sign install for the week of 6/26 if you could make sure this is completed by then.
Let us know if that's an issue.

Sounds good. Can someone confirm the condition the ground will be left in? Hoping it's leveled and prepped
for the sign install.

Hi Jason,
Thanks for this summary and agreed on all points. We have no use for the existing sign, so you are ok to dispose of it
unless someone from PW wants it. Flagpole, lighting, and irrigation will be preserved. Parks/Facilities will be responsible
for installing the new sign.

Let me know an approximate cost when you have an idea, but billing to force account sounds good.
Will, let me know if I missed anything.

Terry,
We plan on having our crews remove the sign and base next week. I'm not sure what day yet,
but I wanted to make sure that everyone was informed. Our Crews will remove the sign and the
base. Our crews will dispose of the sign unless someone wants it. We will leave the flag pole and
protect the lighting conduit. I also want to confirm that we are not responsible for when the new
sign will be installed.
We will track this work separately as force account and write a change order charged to schedule
3 for the project.
If anyone has any questions feel free to give me a call.
Thank you,

Jason,

I think we discussed this over the phone, but just want to be sure we are on the same page. The existing flag pole and
lighting for that pole need to be preserved as we install perf pipe and demo the existing sign.
Let me know if you have questions.
