Approval of minutes of October 20, 2005 Next meeting date, time and location Assignments for next meeting KENO W ASHINOTON LODGING TAX ADVISORY COMMITTEE October 20, 2005 Committee Members Present: Tim Clark, Jacquie Alexander, Kathy Madison, Andy Wangstad, and Greg Haffner. Others Present: Nathan Torgelson, Cliff Craig, Marcelle Pechler, Robin Hasbrouck, Lori Hogan, Todd Smith, Sylvia McDaniel. The meeting was called to order by Clark at 2:00 p.m. and introductions were made. Financial Report. Craig explained the Operating Fund as of September 30, 2005, noting that the fund balance is $16,039. Kent Bike Festival. Lori Hogan, Acting Parks Director, pointed out the highlights and challenges of the event, which was held on June 19, 2005. She noted that no communication has been received regarding a similar event in 2006, and said she will keep the committee informed about this and other related events. Crusaders of Kent. Todd Smith, Director of Marketing, explained the hockey program and their attempts to increase attendance at games. He noted that they are working with Kent Parks and Nathan Torgelson agreed to provide additional information on possibilities for promotion. Cancer Treatment Centers of America. Torgelson noted that CTCA's application for a Certificate of Need has been denied, and that they will appeal the decision. Kent Station. Torgelson gave an update on the status of businesses and events at Kent Station, and noted that Phase II will begin in early 2006, with completion by October 2006. Seattle Southside Visitor Services. No update was given. Kent Lodging Association. Hasbrouck reported that the website may be available in November. Hotel/Condo Complex. Torgelson stated that the project, including a LaQuinta Hotel, will begin construction in early 2006. It was noted that the conference center will be 1,600 sq. ft. and will accommodate a maximum of 125 people. Approval of Minutes. Haffner moved to approve the minutes of September 15, 2005. Madison seconded and the motion carried. 2006 Kent Chamber Contract. Hasbrouck distributed copies of the proposed contract and reviewed each line item and deliverable. She noted that the $18,000 amount is the same as last year. A discussion on providing a map showing landmarks such as City Hall, the post office, the library, attractions, and advertisers was then held. Lodging Tax Advisory Board October 20, 2005 Page Two Madison moved to delete Items 5 and 6 from the proposed contract and to substitute an area attraction map. Alexander seconded and the motion carried. The Chamber agreed to come back to the committee with a list of landmarks to be included on the map. Pechler agreed to provide a revised contract and Haffner moved to submit the proposed contract to the Operations Committee. The motion was seconded and carried. Torgelson pointed out that the Committee will meet on November 1 and that the proposal will go to the City Council on November 15. Communications and Marketing Manger. Sylvia McDaniel explained her background and the duties of this position. Next Meeting. It was noted that the next meeting will not be scheduled until after the first of the year. Adjournment. We are developing a Guest Relations Program that aims at providing frontline employees with resources to promote Southside venues, services and attractions to guests. • Guest Relations Program is promoted as a networking opportunity for those who serve on the front line in guest relations • Program will be offered twice per year at no cost to attendees • Reinforce SSVS as a resource for frontline employees Volunteer & Summer Intern Program Having interns during the busy season and volunteers year round at SSVS helps to staff the Visitor Center, allows SSVS to follow through with small projects and helps reduce operation costs. Planning a reunion in Seattle is easier than you think! .......... ­d-'A PUBLIC RELATIONS AND MARKETING Media Plan SSVS plans to launch an advertising campaign to attract visitors through unique positioning and offerings.We will purchase media placements/advertisements in travel- related publications luring visitors with the value and convenience of staying in Seattle Southside and entice them with the appeal of favorite, familiar attractions in Seattle and other lesser-known attractions in the Southside area. All advertising includes a call to action for purposes of tracking and evaluation. Public Relations SSVS will implement a media relations program to build public awareness and usage of Seattle Southside Visitor Services by generating positive editorial media coverage and promoting the "new" Visitor Center to local audiences. Working proactively and reactively with local and regional media and area tourism venues, SSVS strives to sustain a role as a helpful and dependable resource for vacation planners, hosting athletic tournaments, conducting small to medium-sized meetings and events, business travelers, etc. • Developing Media Planner's Kit to send to identified media planners who request information or respond to advertisements in targeted publications Electronic Newsletters SSVS offers two elecrtonic newsletters, one to associates and one to travelers. Newsletters are an ideal way to get information to the readers about the Southside including news, calendar of events, deals and specials, important happenings, etc. • At-A-Glance: The Associate Newsletter will be sent on a monthly schedule.
