To allow for this capability, Vision33 is recommending the following changes to the Amanda Back-Office configuration, which is already completed. Scope of work: • Analysis • Create new info codes. • Defaulting new folder info codes on a folder and enabling the web flags o NOTE: Not all (22) folders will have these info codes and the info codes defaulted on a folder may differ between folder types. • Add Info Validation procedure • Testing validation in Step 3. For additional details please see Appendix A: Detailed Change Description. Justification The requirement for back office changes was identified after the sign-off of the Amanda Folder requirements. Priority Medium Evaluation Cost This change will cost $2,688.00. This cost will be added to the value of Milestone 15 Portal Deployed and QA. The value of that milestone will now be $15,288.00 Schedule There is no impact to the project schedule because of this change order specifically. Risk There is no risk introduced by this change order. NEW Folder Info’s will be added to each folder so they can be exposed to the Citizen Portal where the folder can have multiple people records: • Owner Name • Owner Email Address • Owner Phone • Applicant Name • Applicant Email Address • Applicant Phone • Contractor Name • Contractor Email Address • Contractor Phone Number • Architect Name • Architect Email Address • Architect Phone Page 3 of 3 CALYTERA PROJECT CHANGE REQUEST • Engineer Name • Engineer Email Address • Engineer Phone • OTHERS TBD NOTE: City of Kent to advise which people types should be required on EACH folder • SET Amanda Back Office Folder Info web flags to Yes on ‘Apply for Permit’ 2. ADD to Info Validation procedure the following logic: • Update folder people • If FolderInfo ‘Owner Email Address’ = People.Email then add PeopleRSN to FolderPeople and set FolderPeople.PeopleCode = ‘25’ (Owner) • If FolderInfo ‘Applicant Email Address’ = People.Email then add PeopleRSN to FolderPeople and set FolderPeople.PeopleCode = ‘20’ (Applicant) • If FolderInfo ‘Contractor Email Address’ = People.Email then add PeopleRSN to FolderPeople and set FolderPeople.PeopleCode = ‘30’ (Contractor) • If FolderInfo ‘Architect Email Address’ = People.Email then add PeopleRSN to FolderPeople and set FolderPeople.PeopleCode = ‘35’ (Architect) • If FolderInfo ‘Engineer Email Address’ = People.Email then add PeopleRSN to FolderPeople and set FolderPeople.PeopleCode = ‘45’ (Engineer) • NOTE: If folder info email address(es) do not have a matching people.email address THEN no update will be made to the folder people tab • ADD attempt procedure validation to the ‘Completeness Check’ process: • IF required folder people are not listed through error to staff to manually add folder people (owner, applicant, contractor, architect, engineer, etc) 3. IF Amanda Back Office Folder Info web flags ‘Apply for Permit’ are set to YES then they will automatically be required in the existing step 3 (below) of the portal application process o NOTE: This process would not provide a solution IF a people record needs to change at some time during the permit life cycle.
